Invoice anatomy

The ten parts of a professional invoice

Everything on the sheet has a job. These are the ten sections an accounts department expects to find — and the generator lays out every one of them for you.

    The word “Invoice”

    Say what the document is, at the top, unmissably. It separates a demand for payment from a quote or receipt.

  2. 2

    Invoice number

    Unique and sequential — INV-0042 — never reused. It is how both sides refer to the bill, and the first thing an audit checks.

    Your business details

    Legal name, address and contact. On paper this is who the money is owed to.

  4. 4

    Client details

    The paying party's legal name and address — billed to the right entity, or accounts payable will bounce it back.

    Issue and due dates

    When it was raised and when it must be paid. “Due on receipt” or a date — vagueness costs weeks.

    Line items

    What was delivered, quantity and rate per line. Itemised invoices get questioned less and approved sooner.

FAQ about creating an invoice

What is an invoice?

An invoice is the document a business sends after doing the work: it identifies both parties, itemises what was delivered, states the total with any tax, and tells the client exactly how and when to pay. Once sent, it is also your legal and accounting record of the sale — which is why numbering them sequentially matters.

Is this invoice generator really free?

Yes — free, no signup, no watermark, no invoice limit. The download is a clean PDF with nothing stamped on it. An invoice is your business document, not our advertising space.

Where is my billing data stored?

On your own device, nowhere else. The form saves to your browser's local storage so your letterhead, payment details and invoice number survive a reload — but nothing is ever transmitted to a server. For client names and bank details, that is the entire point.

Can I put my own logo on the invoice?

Yes. Upload a PNG or JPG and it appears in the letterhead of both the live preview and the PDF. It is embedded into the file itself, so it renders identically wherever the invoice is opened.

Can I change the currency?

Twenty-four currencies are built in, including USD, EUR, GBP, CAD, AUD, INR and AED. Where a currency's symbol renders reliably inside PDFs it is used ($, €, £, ¥); for the rest the amount is written the way international invoices write it anyway — the ISO code, like “AED 42,000.00”.

How do I handle tax and discounts?

Set a percentage or flat discount, and a tax rate under your own label — sales tax, VAT, GST, whatever your jurisdiction calls it. The order of operations is the standard one: discount first, then tax on the reduced amount, and every step shows as its own line.

How do I send the invoice, and can I edit it later?

Download the PDF and attach it to an email — a PDF renders the same everywhere and is what accounting departments expect. If you spot a mistake afterwards, your data is still in the form: fix it and download again. You can also open the file in our free PDF editor for a quick correction.

Does it remember my invoice number for next time?

Yes. Everything persists on your device, and the “New” button starts the next invoice by keeping your business details, clearing the client and items, and bumping the number — INV-0007 becomes INV-0008 — so your sequence stays unbroken without a spreadsheet.
